Managing and Using Discounts

Discount codes provide a flexible way to offer promotions to your members for various purchases.

Creating Discount Codes

Navigate to the Payments section and select Discounts. Click the Add Discount button to open the creation sheet.

Discount Details

  • Code: Enter a unique code (e.g., WELCOME10, SUMMER20). Codes are typically saved in uppercase and must be unique within your space.

  • Description: Add an optional internal note about the discount's purpose (e.g., "New member onboarding offer").

  • Discount Type: Choose either Percentage (e.g., 10 for 10%) or Fixed Amount (e.g., 5 for $5 off, based on your space's currency).

  • Discount Value: Enter the numeric value corresponding to the type (e.g., 10 for 10% or 5 for $5). Must be a positive number.

  • Expiration Date (Optional): Set a date after which the code will no longer be valid. Leave blank for no expiration.

  • Maximum Usage (Optional): Limit the total number of times the code can be used across all members. Leave blank for unlimited uses.

Applicability

  • Specify which types of purchases this discount code applies to:

  • Membership Plans: Can be used when purchasing new memberships.

  • Room Credits: Can be used when buying room time credits.

  • Products: Can be used when purchasing items from your product list.

  • Select one or more applicable categories. If none are selected, the code might apply universally, depending on system configuration (check applicability during testing).

Click Create Discount to save the new code.

Managing Existing Discount Codes

The main Discounts page lists all created codes.

Viewing Discounts

The table displays key information for each code:

  • Code: The unique discount code.

  • Description: Your internal note.

  • Type / Value: Shows if it's a Percentage or Fixed Amount and the corresponding value.

  • Status: Indicates if the code is Active (usable), Expired (past expiration date or usage limit reached), or Inactive (manually deactivated).

  • Usage: Shows how many times the code has been used out of the maximum allowed (e.g., 5 / 100).

  • Expires: The expiration date, if set.

  • Applicability: Lists the types of purchases the code applies to.

Searching and Filtering

  • Search: Find codes by entering text from the Code or Description.

  • Filter by Status: View only Active, Expired, Inactive, or All codes.

Deactivating/Deleting Codes

  • Use the Actions menu (three dots) on a code's row to manage it.

  • Select Delete Code.

  • Important: If a code has already been used at least once, it cannot be permanently deleted to maintain historical records. Instead, selecting "Delete" will deactivate the code, setting its status to Inactive and preventing further use. Unused codes can be permanently deleted.

How Members Use Discount Codes

When members purchase applicable items (Memberships, Room Credits, Products), they will typically see an option during the checkout process:

  1. Checkbox/Link: An option like "I have a discount code" will be available.

  1. Input Field: Selecting the option reveals a field to enter the discount code.

  1. Apply Button: After entering the code, members click "Apply".

  1. Validation: The system checks if the code is valid (exists, active, not expired, within usage limits) and applicable to the item(s) in the cart.

  1. Feedback: A success message confirms the discount applied, or an error message explains why it failed.

  1. Summary Update: The purchase summary dynamically updates to show the original price, the discount amount applied, and the new final price.

Members can then proceed with the checkout using the discounted price.
