Adding and Editing Membership Plans

Membership plans define the access levels, benefits, and pricing for your members.

Creating a New Membership Plan

Navigate to Space Settings and select Membership Plans. Click the Add Plan button to start the creation process.

Choose Plan Type

First, select the type of membership plan you want to create:

  • Fixed Plan: Perfect for day passes, monthly memberships, or any fixed-duration access. Members get dedicated desk access for a specific time period. Duration is measured in days only.

  • Flex Plan: For flexible memberships with a set number of entries. Members pay for a specific number of visits that must be used within the plan's validity period. Flex Plans support three entry types: Full Day, Hourly, or Fixed Slot.

  • Recurring Plan: Designed for monthly recurring memberships that automatically renew every 30 days. Perfect for members who want continuous monthly access without manually renewing each month. The duration is fixed at 30 days and cannot be changed.

Plan Details

After selecting your plan type, fill in the essential information:

  • Plan Name: A clear and descriptive name (e.g., "Full-Time Hot Desk", "10-Day Pass", "Monthly Recurring Membership").

  • Price: The cost of the membership plan in your space's currency.

  • Validation Period: Specify the duration in days (e.g., 30 days). For Recurring Plans, the duration is automatically set to 30 days and cannot be changed. All plans require a validity period.

  • Total Entries: For Flex Plans only - specify how many visits or entries the plan includes (e.g., 10 entries).

Flex Plan Entry Types

When creating a Flex Plan, you'll need to choose how members book their entries. You have three options:

  • Full Day: Members pick any date, and the booking covers the entire day (from midnight to midnight). Perfect for flexible day passes where members can use the space for a full day whenever they choose.

  • Hourly: Members pick a date and select a start hour. The booking lasts for a specified duration (e.g., 3 hours). For example, if a member selects 10:00 AM, their booking runs from 10:00 AM to 1:00 PM. This gives members flexibility to choose their preferred working hours.

  • Fixed Slot: Members pick a date only, and the time window is predetermined (e.g., morning shift 09:00-14:00 or night shift 22:00-06:00). Perfect for shift-based plans where you want to control when members can access the space.

After selecting the entry type, you'll configure the specific settings:

  • For Hourly: Set the entry duration in hours (e.g., 3 hours per entry)

  • For Fixed Slot: Set the start and end times for the shift window. These times must fall within the desk's operating hours.

  • For Full Day: No additional configuration needed - members simply select dates

You can also optionally restrict entries to specific days of the week (e.g., weekends only) for any entry type.

Desk Assignment

Assign the desk resource members on this plan can access:

  • For Fixed Plans, you can select zero or one desk resource. Use the radio buttons to choose a single desk or select "No desks" for social memberships.

  • For Flex Plans, you must select exactly one desk resource. Use the radio buttons to choose a single desk. Members can use their entries at the assigned desk.

  • For Recurring Plans, you can select zero or one desk resource. Use the radio buttons to choose a single desk or select "No desks" for social memberships without desk access.

  • The availability and capacity of desks are shown to help with assignment.

Additional Benefits

Enhance the plan by adding extra perks:

  • Select resources like Meeting Rooms (specify minutes of access) or Products (specify quantity, e.g., 5 coffees).

  • For products, simply enter the number of items included (no "entries" unit is shown).

  • These benefits are granted to members upon activating this plan.

Saving the Plan

Once all details, desk assignments, and benefits are configured, click Create Plan. The new plan will appear in your list.

Editing an Existing Membership Plan

Find the plan you wish to modify on the Membership Plans page. Access the edit options (usually via a menu on the plan card).

What You Can Edit: Plan name, price, validation period, desk assignments, and benefits. Plan type cannot be changed after creation.

Important: Changes only affect new memberships. Existing members keep their current plan settings.

Deleting a Membership Plan

Select the delete option from the plan's menu. You will be asked to confirm.

โš ๏ธ A plan cannot be deleted if it has active members currently assigned to it. You must first ensure no members are actively using the plan before deletion is possible. If deletion is blocked, consider editing the plan to make it unavailable for new signups instead. Deleting a plan permanently removes it and its associated configurations.
